The need for efficient and integrated room access management is increasing in university environments, in line with the growing intensity of academic and non academic activities that require scheduled room usage. Manual systems often lead to usage conflicts, recording errors, and limited control over user access rights. This study aims to develop a room access system based on Radio Frequency Identification (RFID) technology using ESP32 and PN532, design a web-based interface, and implement access control based on user roles. The system is designed to automatically identify users, log access activities, and control room locking mechanisms digitally. The system was developed using the Agile methodology. The process began with gathering user requirements, followed by interface and system flow design, hardware and software implementation, and ongoing functional evaluation. The system integrates an ESP32 microcontroller and an RFID PN532 module to read card UIDs, while the Laravel-based backend handles data verification and automatic access logging. All components were designed to adapt flexibly to changes in user needs throughout the development process. Based on testing using the black-box method, the system demonstrated that all core functionalities operated according to the designed scenarios. Students were granted access only when they had a valid schedule or an approved room booking, while lecturers had unrestricted access to all rooms. All access activities were successfully recorded in the database, including user information, time of access, room accessed, and verification status.
